Migrate from one ATS to another

What to expect when migrating from one ATS to New ATS

This guide walks through how to smoothly transition from one ATS to another while minimizing disruption to your scheduling and interview workflows.


Migration Process

Follow these steps to complete your ATS migration:

  1. Select a migration date and time
    Choose a clear cutover point when your team will switch systems.

  2. Install the new ATS integration

    • Set up your new integration in BrightHire

    • Initial data sync may take 1 to 2 days

  3. Perform the cutover

    • Stop scheduling interviews in the old ATS

    • Begin scheduling in the new ATS

    • Remove the old ATS integration once it is no longer needed

  4. Re-enable Autojoin by Position

    • Turn Autojoin by Position back on after the switch

    • Reconfigure position and department selections as needed

  5. Wrap up remaining interviews

    • You can keep the old ATS active temporarily to complete already scheduled interviews

    • Do not schedule any new interviews in the old system


Key Considerations

Using Multiple ATS Systems

  • You should only actively schedule interviews in one ATS at a time

  • Both ATS integrations can remain active briefly during the transition period


Scheduled Interviews

  • Existing interviews can be handled in one of two ways:

    • Reschedule them in the new ATS, or

    • Allow them to continue through the old ATS

  • Do not deactivate the old ATS integration until all existing interviews are complete

  • BrightHire will still join any interviews that were already scheduled, unless they are canceled


Candidates

  • If a candidate is scheduled in both systems:

    • You may see duplicate candidate profiles in BrightHire

    • These profiles cannot be merged

    • Scorecards and feedback forms are not affected

  • This duplication only impacts candidates active in both systems during the transition

  • New candidates will function normally and link only to the new ATS


ATS Side Panel

  • The side panel will continue to work on candidate pages

  • Interviews scheduled before the transition will still appear

  • Older interviews will not link to feedback forms, since those remain in the old ATS


Candidate Pages

  • Candidates active during the transition may show duplicate positions

  • You may need to switch between job entries to view full history

  • This will resolve over time as only the new ATS is used going forward


Positions and Departments

  • Departments will not be duplicated

  • Positions will be duplicated:

    • New position entries will be created in BrightHire


Autojoin by Position

  • You will need to reselect positions and departments after migration


Additional Notes

  • Engineering support may be required to force close old positions so they no longer appear in Autojoin settings
