Intelligently "split" meetings into discrete sections that can be accessed afterwards in BrightHire.

Often, candidates participate in a "Virtual Onsite" type interview as a part of their process: multiple interviews are scheduled back-to-back, all using the same Zoom or Google Meet link to provide a good candidate experience.

Previously, these virtual onsites were all captured as one recording in BrightHire, however now we can detect when different interviewers leave and join the interview, to intelligently "split" the meeting into discrete sections that can be accessed afterward in BrightHire.

You don't need to make any changes to your existing workflows, BrightHire will use interviewer attendance to automatically create unique interview recordings of sequential scheduled interviews sharing a single meeting URL. BrightHire will also provide interviewers more control over joining, starting, and stopping the different sections of a Virtual Onsite via the Interview Assistant.

BrightHire Requirements:

  • Zoom or Google Meet Notetaker is enabled for your organization

  • All interviews are scheduled using the same link

  • Interviews are scheduled back to back with no break in between

There are 2 common scenarios for virtual onsites:

Step 1:

📆 Schedule the Interviews using your existing workflow

Example 1: Recording + The BrightHire Interview Assistant

Scenario:

  • Onsite with three interviews (1-3) and 3 interviewers (A-C) with one interviewer in each interview:

    • Interview 1 - Interviewer A

    • Interview 2 - Interviewer B

    • Interview 3 - Interviewer C to end of the interview

    • Each Interviewer opens and takes notes using the BrightHire Interview Assistant

The interview will easily transition from one interviewer to the next:

Interview 1 - Interviewer A > B joins at the end

  • Interviewer A joins the meeting and sees the select interview screen and chooses that they should be part of the current interview.

  • A sees the active interview screen

  • A lets the Notetaker into the meeting

  • A lets the Candidate into the meeting

  • A opens the Zoom App or Chrome Extension

Interview 2 - B > C joins at the end

  • B joins this interview (at the end time of interview 1). B sees the select interview screen and waits

  • A selects Next interview

  • A sees the start next interview modal and confirms

  • B sees the active interview screen for interview 2

Interview 3 - C > End of the onsite

  • C joins this interview

  • B sees the start next interview modal and confirms

  • C sees the active interview screen for interview 3.

  • Everyone leaves the meeting.


Example 2: Recording without the Interview Assistant

Onsite with three interviews (1-3) and 3 interviewers (A-C) with one interviewer in each interview:

  • Interview 1 - A

  • Interview 2 - B

  • Interview 3 - C to end of the interview

Because the interview assistant won't be open, this interview will be spilt automatically as interviewers join and leave the meeting.

Interview 1 - A > B

  • A joins the meeting - A sees the select interview screen and chooses that they should be part of the current interview.

  • A sees the active interview screen.

  • A lets the Notetaker into the meeting.

  • A lets the Candidate into the meeting.

Interview 2 - B > C

  • B joins the meeting - B sees the select interview screen and waits.

  • A leaves the interview

  • The interview splits

Interview 3 - C > End of the interview

  • C joins the meeting

  • B leaves the interview

  • The interview splits


FAQs:

What Happens If...

Q. Interviewer A joins late?

A: Will work exactly like outlined above.

Q. Interviewer C joins early?

A: Interviewer C will be shown the select interview screen and will wait until the previous interview ends. After the “start next interview” is selected, the Interview Assistant will switch to the in-progress view.

Q: Interviewer 3 accidentally joins Interview 1, immediately realizes their mistake and leaves.

A: Interviewer 3 will be shown the select interview screen but won’t be added to Interview 1.

Q: The candidate has opted out of recording.

A: This flow will work the same as it does today. If a candidate opts out, the interviewers will see the following message if they attempt to open the Interview Assistant and will not be able to take notes:

"This candidate opted out of BrightHire recordings. This candidate requested not to be recorded, so BrightHire is not available for this user.”

Q: Interviewer C has opted out of recording

A: The Notetaker will stop recording as soon as Interviewer C joins the meeting. Once both Interview 2 is over and Interviewer C has left, the notetaker will resume recording.

Q: Interview 1 is an excluded stage

A: The Notetaker will not record Interview 1 but will join the meeting in order to track the participants but gives an indication that it is not recording. Once interview 1 is over, the notetaker will start recording.

Q: Interviewer A pauses recording via the Interview Assistant.

A: The interviewers in interview 1 will still be able to take notes, but the portion of the recording that was paused will be blank. If Interviewer A or B doesn’t resume recording,

recording will resume automatically when Interview 2 starts.

Q: Interviewer A cancels the recording via the Interview Assistant

A: The Notetaker will not record Interview 1 but will join the meeting in order to track the participants but gives an indication that it is not recording. Once interview 1 is over, the notetaker will start recording.

Q: Notetaker is kicked out from one of the interviews via the Interview Assistant (Delete recording)

A: The notetaker will attempt to rejoin the onsite when the next interview is scheduled to start. As soon as it is let back in, the recording will resume.

Q: Interviewer C joins at the scheduled time, Interviewer A asks if they could have 10 more minutes, Interviewer C leaves and comes back in 10 minutes.

A: Interviewer C will be shown the select interview screen. They won’t be added to Interview 1.

Q: Interviewer A can’t make it and is swapped out with someone else.

A: As long as the replacement interviewer joins the correct interview from the select interview screen, there are no issues.

Q: The meeting is accidentally ended during the onsite.

When the meeting is restarted, the first interviewer to join is prompted to select which interview to start.

Q: Interviewer A gets disconnected and rejoins the interview.

A: As long as the same interview in the onsite is still in progress, Interviewer A will be taken directly to the in-progress screen.

Q: The interviewer is in back-to-back interviews in the onsite

A: The interviewer will be shown the post-interview screen when their first interview ends and will need to click the “join next interview” button to join the next interview.

Q: The Interview is stopped and restarted for each interview in the onsite.

A: When the meeting is restarted, the first interviewer to join is prompted to select which interview to start.
