Microsoft Teams Signed-In Bot

Written by Jennifer Steinker

BrightHire supports bots joining Teams calls as a signed-in user. This allows bots to appear as normal participants, bypass admission prompts, and comply with strict guest policies.

🤖 What Is a Signed-In Bot?

A signed-in bot uses a managed Microsoft Teams account to join your meetings. This ensures compatibility with organizations that block anonymous participants or enforce strict domain-based access.

BrightHire’s signed-in bot is called Interview Notetaker and joins from the address [email protected].

Key Benefits

  • ✅ Appears as a regular Teams participant

  • ✅ Fully compatible with meetings that restrict or block anonymous users

  • ✅ Complies with domain-based or verified-user policies

👤 Bot Identity & Display Name

When the bot joins a meeting, it appears with the name Interview Notetaker and the email [email protected].

These identifiers are part of the Microsoft Teams account configuration and cannot be customized per meeting or per organization.

The bot will always display this consistent identity to ensure predictability and trust across all Teams calls.

🔧 When the Signed-In Bot Is Used

BrightHire automatically determines when to use the signed-in bot based on meeting requirements.

The Interview Notetaker account will only join when a signed-in participant is necessary — for example, if your Teams settings restrict anonymous users.

Teams administrators can check or adjust these relevant settings:

Per-Meeting Setting

Meetings → Meeting Options → Meeting Join and Lobby

  • “Require unverified participants to verify their info before joining” → ON

Organization-Level Setting

Teams Admin Center → Meetings → Global Policies → Meeting & Lobby

  • “Anonymous users can join a meeting unverified” → OFF

  • “Require verification for anonymous users and untrusted organizations” → ON

🔒 Allowing the Bot for Restricted Domains

If your organization limits external domain access, your Teams administrator can authorize BrightHire’s bot domain to ensure smooth participation:

  1. Go to:

  2. Under Teams and Skype for Business users in external organizations, select Allow only specific external domains.

  3. Add bots.brighthire.ai to the allowed domain list.

  4. Save changes.

Once configured, the Interview Notetaker can seamlessly join meetings within your organization.

💬 Frequently Asked Questions

Q: Can we change the bot’s display name?

A: No. The display name is set at the account level for consistency and cannot be customized per meeting or organization.

Q: Can we have different bots for different teams or departments?

A: Not at this time. The bot identity is standardized as Interview Notetaker ([email protected]).

Q: Will the notetaker still use our custom image?

A: Yes! Your organization’s custom notetaker image will still appear — only the display name and email address remain fixed.

Q: Will the notetaker be able to bypass the lobby?

A: This user will adhere to the existing lobby settings so it cannot bypass the lobby unless the lobby isn’t restricted or the user email is invited and that is the policy in place for the meeting. See Microsoft documentation for details on the lobby options.
