Instructions to migrate Greenhouse to Harvest v3

BrightHire connects to Greenhouse using OAuth 2.0 (authorization code flow). You do not need to create a Harvest API key, set up an integration user, or configure webhooks manually — connecting with OAuth grants BrightHire the access it needs and registers the required webhooks automatically.

⚠️ DISCLAIMER: After you perform these actions, please do not disconnect your Greenhouse V1 API key credentials! While we sync your data, we will continue to use your legacy credentials to ensure you experience zero-downtime within BrightHire during this migration.

Before you begin:

  • You must be a BrightHire admin with permission to manage organization settings.

  • The person who authorizes the connection must be signed in to Greenhouse as a user with Site Admin–level permissions, so they can grant BrightHire access to your organization's Harvest data.

Steps - Existing Customers

  • You’ll have an active Greenhouse integration, you’ll see it’s current status at the top of the page and an option to Upgrade to Harvest V3 below it.

  • Click Upgrade to Harvest V3. You'll be redirected to Greenhouse to review the access BrightHire is requesting.

  • You will be asked to provide the email address you use to login to Greenhouse. This email address must be associated with a Greenhouse admin or other user who can authorize integrations. We recommend using a service account so that the integration isn’t tied to an individual who could eventually leave the company. Click Log in to Greenhouse to proceed to the next page.

  • Scroll to the bottom of the page to find the Authorize button. We recommend selecting the option to Authorize using a service account. This creates an org-level service account to own the connection, so the integration keeps working even if the person who set it up later leaves or is deactivated. Then click Authorize. Greenhouse returns you to BrightHire automatically.

  • Back in BrightHire, the integration status shows Connected. You'll see the message: "Initial sync takes about 60 minutes. You can continue working without interruption." The first sync imports your existing Greenhouse data in the background; ongoing changes sync continuously.


Frequently Asked Questions

Is there any downtime, or any impact on previously scheduled/established interviews?

No downtime is anticipated.

Do I need to create new webhooks?

No. Webhook registration now happens automatically when you connect via OAuth.

If I have pre-existing webhooks, should I delete or turn them off?

No. Do not touch your webhooks. They need to stay active through the cutover (BrightHire keeps using the V2 credentials/webhooks until the data resync and internal cutover are done, for zero downtime), and BrightHire will stop using them automatically afterward.

Should I use the same service account?

Yes. If you already have a service account, reuse that email.

General guidance: Tie the integration to a service account, not an individual admin, so it doesn't break if that person leaves.

What happens if I don't complete the migration by August 31?

Your Greenhouse integration will stop working. This is a Greenhouse-imposed deadline, not BrightHire's.

After I complete the upgrade, is there anything I need to do to finish syncing my data?

No. Once you've completed the upgrade steps, you're done on your end. BrightHire automatically handles a brief cutover period while your data finishes syncing to the new Greenhouse Harvest V3 integration.

This happens behind the scenes, typically within 1–2 business days, and won't affect your interviews or day-to-day use of BrightHire in any way. There's nothing to monitor and no action needed from you. You can assume everything has gone smoothly.
