Migrate from Zoom Native to Zoom Notetaker

This guide outlines how to transition from the Zoom Native integration to the BrightHire Zoom Notetaker. Following these steps will ensure a smooth migration with minimal disruption to scheduled interviews.


Overview

Zoom Native is the legacy “connect your Zoom account” integration and relies on cloud recording.

  • Uses the older Zoom connection approach and can be more sensitive to permissions/settings and meeting-by-meeting friction.

Zoom Notetaker - A BrightHire bot joins the meeting to capture it.

  • Your Zoom admin installs the BrightHire Notetaker app once for the org, and the Notetaker automatically joins eligible interviews to record and send them securely to BrightHire (nothing is saved to an employee’s computer).

During this migration, you will:

  • Configure required Zoom settings

  • Remove the existing Zoom Native integration

    • - Important: When migrating, Native must be fully removed first to avoid conflicts.

  • Zoom Admin Installs the BrightHire Notetaker Zoom App

  • Validate the new setup


Prerequisites

Before getting started, ensure the following:

  • You have a Zoom IT Admin

  • You have a Zoom installation account (IT Admin or service account)

  • The same user exists in BrightHire as a Site Admin

  • One of the following Zoom settings is already enabled for the organization:

    • Record to Computer Files, or

    • Allow third-party recording

  • Your Zoom Admin is prepared to install the BrightHire Notetaker app at the organization level


Step 1: Configure Required Zoom Settings

⚠️ Important:
Only complete the Zoom settings configuration at this stage. Do not install the Notetaker app or enable it in BrightHire yet.

Step 2: Schedule a Migration Window

The migration should be completed during a coordinated window to avoid disruption.

Recommended approach:

  • Schedule during a low-risk time (end of day Friday is ideal)

  • Include the following participants:

    • Customer - Zoom Admin

    • BrightHire - CS / Implementation

    • Relevant technical stakeholders

Suggested agenda:

  1. Remove Zoom Native integration

  2. Install BrightHire Notetaker app

  3. Validate setup in BrightHire

Best practice:

  • Avoid scheduling new interviews during this window to reduce conflicts


Step 3: Remove the Zoom Native Integration

Before installing the Notetaker app, remove the existing integration to prevent conflicts.

  1. BrightHire - In BrightHire, disable the Zoom Native integration

  2. BrightHire - Will Confirm that Zoom Native is no longer enabled in your org settings


Step 4: Install the BrightHire Notetaker App

Follow the full installation steps here:

This step should be completed by your Zoom Admin or designated service account.


Step 5: Validate Setup in BrightHire

After installation:

  • Confirm the Notetaker is properly connected

  • Verify expected behavior in BrightHire Admin settings

  • Run a test interview if needed


Change Management Considerations

To ensure a smooth transition for your team, we recommend the following:

Communicate Early

  • Notify recruiters and interviewers ahead of the migration

  • Set expectations that they will being seeing the notetaker as a participant in their Zoom meetings starting on <Date>

Set Clear Expectations

  • Clarify that Zoom Native will be deprecated

  • Explain the benefits of Notetaker (e.g., improved reliability, consistency)

Minimize Risk During Migration

  • Avoid scheduling interviews during the migration window

  • Identify any high-priority interviews and plan accordingly

Provide Post-Migration Support

  • Share updated instructions with interviewers

  • Offer a quick walkthrough, Loom or office hours if needed

  • Monitor early interviews closely for any issues

Have a Contingency Plan

  • Ensure key stakeholders are available during the migration window

  • Be prepared to troubleshoot or escalate quickly if needed
