BrightHire provides tools to capture and review interview data, including transcripts, videos, and notes. However, there may be instances where this data is missing. This article outlines common reasons for missing data and provides troubleshooting steps to recover or access the information.

Common Issues with Missing Interviews

Meeting bot removed early:
If the BrightHire meeting bot is removed from the call before the session ends, the interview will not be ingested. This means no recording or transcript will be captured.

Best practice is to pause, rather than stopping the recording. If you removed it by accident, please request a human and we can attempt to recover it for you.

Bot leaves shortly after joining:
If the bot joins but leaves unexpectedly after a few minutes, it may be related to settings or permissions that need to be updated.

Troubleshooting Steps for Missing Transcripts or Videos

  1. Verify Meeting Bot Presence: Ensure that the BrightHire meeting bot was present for the entire duration of the interview. If the bot was removed prematurely, the session data will not be recorded.

  2. Check Notetaker Activity: Confirm whether the notetaker was active during the session. If so, the transcript and notes may still be available even if the recording is missing.

  3. Contact Support: If you are unable to locate the transcript, video, or notes despite following the above steps, reach out to BrightHire support for further assistance.

Bot didn’t join the meeting
If the notetaker never joined, confirm that at least one of the following is true:

  • Auto-join is enabled for the role

  • The user has individual import rules set

  • The event includes [email protected] as a participant

  • The interviewer has a synced calendar and the event includes #brighthire

If none of these are configured, BrightHire will not join or record the interview.
