If an interview is missing in BrightHire, it’s usually because the Notetaker didn’t stay in the meeting or the recording was canceled/stopped.

Why recordings/transcripts/notes go missing:


- Notetaker removed or “Stop/Delete” was used: If someone removes the Notetaker or stops/deletes recording, BrightHire does not keep any recording artifacts (audio/video/transcript/notes), including anything captured earlier in the call. Best practice: use Pause for sensitive moments instead.

The setting "Preserve recording when the Notetaker is removed" can be enabled to preserve and import the recording captured up to the point the Notetaker was removed.

If you'd like to enable that setting, please reach out to Support. This does not affect the Cancel Recording link — clicking that link always deletes the recording.


- Notetaker left shortly after joining: This is often caused by meeting settings or permissions; we’ll need to review the meeting details to diagnose.


- Notetaker never joined: Confirm the interview was scheduled to record (e.g., auto-join rules for the role/position, user-level import rules, or the calendar event invited [email protected]).

What to do next
- If you have a transcript but notes are missing, use Ask Assistant to generate a summary.
- Request a human via chat.
