Google Meet Update: Notetaker Admission Experience

⚠️ Update 3/27/26 - We’ve implemented an initial solution to address the recent Google Meet change that flags bots as “potentially risky” to participants.

What’s happening

Google recently rolled out an update to Google Meet called the “Safeguarded Guest Admit Flow.” This change affects how external participants, including notetakers like BrightHire, appear when joining a meeting.

As part of this update, you may now see the notetaker appear under a section labeled “With potential risks” while it’s waiting to be admitted.

You’ll also see options like:

  • Deny

  • Deny all

  • A three-dot menu (“More”) for additional actions


What this means for BrightHire

What this looks like in the meeting

  • Recording is not impacted
    BrightHire can still join and record meetings as expected once admitted.

  • ⚠️ Admitting the notetaker looks different
    The updated UI may make it less obvious how to admit the notetaker into the meeting.


How to admit the notetaker

When the BrightHire notetaker is waiting to join:

  1. Look for the participant listed under “With potential risks”

  2. Click the three-dot menu (⋮) next to the notetaker

  3. Select the option to Admit the participant


What we recommend

To avoid confusion, we recommend:

  • Notifying your interviewers about this change

  • Letting them know:

    • This is expected behavior due to a Google update

    • They may need to use the “More” (⋮) menu to admit the notetaker


What we’re doing

We’re actively investigating ways to:

  • Improve the admission experience

  • Reduce or eliminate this “potential risks” classification where possible
