This guide walks through how to configure candidate consent (opt-in) in Ashby so it syncs properly with BrightHire.
To ensure consent is captured and imported correctly, you’ll need to:
Add a required consent field to your Application Form
Link that form to the appropriate job postings
Match the field exactly in BrightHire settings
Step 1: Navigate to Application Forms in Admin
Go to your Admin page in Ashby.
Locate and select Application Forms.
From here, you can:
Edit an existing Application Form (recommended), or
Create a new one.
We strongly recommend using the same Application Form for all opt-in jobs to maintain consistency.

Step 3: Add a Required Consent Field
Within the Application Form:
Add your consent question (e.g., interview recording consent).
Make sure the field is marked as Required.
This ensures candidate consent is consistently captured before submission.

Step 4: Go to the Job Posting You Want to Make Opt-In

Select Job Postings.

Step 5: Link the Application Form to the Job Posting
When editing the job posting:
Link the Application Form that includes your required consent field.
We strongly recommend using linked Application Forms rather than duplicating forms.
Why this matters:
If the consent field in Ashby does not match what BrightHire expects, candidate consent cannot be imported properly.

Step 6: Update BrightHire Settings
Ashby works slightly differently from Greenhouse:
In Greenhouse, custom fields use snake case (example:
opt_in_question).In Ashby, BrightHire performs a direct string match.
This means:
The consent field title in BrightHire must match the Application Form question text in Ashby exactly, including spacing and capitalization.
Double-check the field value carefully to ensure it matches your Application Form question.

Important Notes
Use a single standardized Application Form when possible.
Make the consent field required.
Ensure exact text matching between Ashby and BrightHire.
Avoid creating multiple variations of the same consent question.
