Learn about BrightHire's Greenhouse Scorecard Auto-Draft feature

BrightHire now automatically adds AI-generated notes from your recorded interviews directly to Greenhouse scorecards — no extra clicks or extensions needed.

After each interview, a draft scorecard is created with AI notes in the most relevant sections, while any remaining notes are listed under 'Key Takeaways' for easy review.

Every organization and user can turn this feature on and off through their settings.


Prerequisites

  • You'll need a Greenhouse API key with the correct permissions.

  • The user and organization must have “Allow BrightHire to create Greenhouse Scorecard drafts” enabled on their BrightHire Settings Page.

  • The user's Greenhouse scorecard must be empty. This is by design, so we never overwrite what you've already written. If the user's scorecard isn't empty, they can still use the BrightHire browser extension to 1-click fill out their scorecard.

  • The scheduled interview must have been scheduled in Greenhouse and must have a Greenhouse scorecard link attached to it.

What to Expect after the Interview

  • BrightHire will create a draft Greenhouse scorecard for each interviewer using AI notes.

  • This process will take 2-5 minutes, depending on the recording, transcript, and AI notes processing times.

  • When you visit your Greenhouse scorecard, it will be pre-populated with your AI notes in the most closely matching question boxes, with any AI notes that do not closely match a question populated in Key Takeaways.

  • If you have the Browser Extension installed, you'll see notifications about the status of your scorecard auto draft. This includes yellow notifications for errors or warnings about the status of your scorecard and green notifications for success in drafting your scorecard.

  • If you visit your scorecard before the draft is complete, you'll need to refresh your scorecard page a few minutes later.

Admin Setup

1. Visit Greenhouse settings: https://app.brighthire.ai/settings/greenhouse

2. Turn on “Scorecard auto draft” by selecting one of the available options

3. The available options change how this feature is rolled out to your end users.

  • Disabled: No users can use this feature.

  • Enabled, default to off: Users can turn this feature on or off, and it defaults to off for new and existing users.

  • Enabled, default to on: Users can turn this feature on or off, and it defaults to on for new and existing users.

  • Force enabled for all users: Every user in your organization must use this feature.

4. Your BrightHire Customer Success Manager can enable “Require a choice during user registration.”

  • This will show a screen for new and existing users to choose whether to turn this feature on or off.

  • This screen will only be shown to users who have not previously made a choice.

  • Users can always visit their settings to toggle the feature on and off.

5. After clicking “Save scorecard auto draft settings,” BrightHire will give you feedback on whether your API key is set up correctly.

  • If you receive an error message stating that you do not have the appropriate API permissions, follow the instructions below.

  • Visit your Greenhouse API keys page and find your BrightHire API key: https://app4.greenhouse.io/configure/dev_center/credentials.

  • Click the pencil icon to edit the API key.

  • Scroll down to the bottom and find “Harvest v3”.

  • Ensure your API key has the following permissions in the Harvest v3 section of permissions by checking the top-level option for each one.

    • All: Scorecard question answer options

    • All: Scorecard question options

    • All: Scorecards


User Setup

  1. If your BrightHire Admin has chosen to “Require a choice during user registration,” then each user will be asked whether they want to turn this on or off when they next visit the BrightHire website.

  2. If not, or if they want to change their mind later, then each user can turn this feature on/off from this page: https://app.brighthire.ai/settings/user/scorecard.


FAQ

Q. What happens if an interviewer starts typing in their Greenhouse scorecard before the auto-draft populates?

A. If a user has already started to fill out their scorecard manually before BrightHire finishes creating a draft scorecard, then BrightHire will not create the draft scorecard. The user can still use the BrightHire browser extension to 1-click fill out their scorecard.

Q. What happens if the interview is not associated with a Greenhouse Scorecard?

A. If the BrightHire recorded interview is not associated to a Greenhouse scorecard, then BrightHire will not create the draft scorecard. The user can still use the BrightHire browser extension to 1-click fill out their scorecard.
